Privacy Policy

The short version: we use your data to parse rate confirmations into your own spreadsheet — nothing else. Uploaded documents are deleted right after processing. Extracted load data is kept for 30 days so your upload history works, then deleted automatically. We never sell your data.
1. Who we are
Solei Dispatch LLC ("Solei Dispatch," "we," "us," or "our") operates Dispatch Sheets.ai — an add-on for Google Sheets™ that extracts load data from rate confirmation documents and writes it into spreadsheets chosen by the user (the "Service"). This Privacy Policy explains what information we collect, how we use it, how long we keep it, and the choices you have.
2. What this policy covers
This policy applies to the Service, including the Google Sheets add-on, our websites, and related APIs. It does not cover third-party services that you use alongside the Service (such as Google Sheets itself or your email provider), which are governed by their own privacy policies.
3. Information we collect
3.1 Account information
- Email address and sign-in credentials. If you register with a password, we store it only in salted, hashed form. If you sign in with Google, we receive your email address and basic profile identifier from Google; we never see your Google password.
- Subscription and plan status, so the Service knows what features and usage are available to your account.
3.2 Documents you upload
- Rate confirmations and similar documents (PDFs, scans, photos) that you submit for parsing. These are processed solely to extract load data for you.
3.3 Extracted load data
- The structured fields produced by parsing — for example rate, pickup and delivery locations and dates, miles, equipment type, broker name and reference numbers — together with the upload history entry that links a parsed document to the spreadsheet row it created.
3.4 Payment information
- Payments are processed by Stripe. Your card details go directly to Stripe and are never stored on our servers. We keep records of your subscription status, invoices and transaction identifiers.
3.5 Usage and technical information
- Standard technical logs (IP address, browser type, timestamps, request identifiers) and basic usage events (for example, number of documents parsed), used for security, debugging, rate limiting and capacity planning.
- A theme preference (light/dark) stored locally in your browser. We do not use advertising cookies or third-party tracking pixels on our website.
4. How we use information
- To provide the Service: parse the documents you upload, show you the extracted fields for review, and write confirmed rows into the spreadsheet and tab you choose.
- To operate your account: authentication, subscription management, usage limits, transactional email (such as verification codes and receipts).
- To keep the Service safe and reliable: abuse prevention, security monitoring, debugging and performance work.
- To comply with law and enforce our Terms of Service.
We do not sell your personal information, and we do not use the content of your documents or spreadsheets for advertising.
5. Data retention and deletion
- Uploaded documents (rate confirmations): deleted from our systems immediately after processing completes. We do not keep a copy of your PDF once parsing is finished.
- Extracted load data and upload history: retained for 30 days so that your upload history and review workflow function, then deleted automatically.
- Rows written to your spreadsheet: live in your own Google Sheet, under your control. Deleting data on our side never touches your spreadsheet.
- Account information: retained while your account is active and deleted or anonymized within a reasonable period after account deletion, except where we must keep records longer (for example, invoices for tax and accounting purposes).
- Technical logs: retained for a limited period for security and troubleshooting, then deleted or anonymized.

6. Google user data
When you connect your Google account, the Service requests only the scopes it needs to work — reading the structure of the spreadsheets you pick (to map columns) and appending rows you have confirmed. Specifically:
- We access only the spreadsheets you explicitly select; we do not browse or index the rest of your Google Drive.
- We append rows and read column headers and validation rules needed for mapping. We do not delete or modify your existing data.
- We do not transfer Google user data to third parties except as necessary to provide the Service, comply with applicable law, or as part of a merger or acquisition with prior notice to you.
- We do not use Google user data for advertising, and we do not allow humans to read it except with your explicit consent, for security purposes, to comply with law, or when the data is aggregated and anonymized.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
7. How we share information
We share information only with service providers that help us run the Service, under contracts limiting their use of it:
- Cloud hosting and storage providers that run our infrastructure.
- OCR and document-processing services (for example, Google Cloud Document AI) used to read scanned documents during parsing.
- Stripe, for payment processing.
- Transactional email providers, to deliver verification codes and service notifications.
We may also disclose information if required by law, to protect the rights, safety and security of Solei Dispatch, our users or the public, or in connection with a merger, acquisition or asset sale (in which case this policy continues to apply to your data, and we will notify you of material changes).
8. Security
We protect your information with industry-standard measures: encryption in transit (TLS) for all connections, encrypted storage, scoped access tokens, salted password hashing, and access controls that limit which systems and personnel can reach production data. No method of transmission or storage is 100% secure, but we work to protect your information against unauthorized access, alteration and loss.
9. Your rights and choices
- Access and export: you can request a copy of the personal information we hold about you.
- Correction: you can ask us to correct inaccurate information.
- Deletion: you can delete your account or ask us to delete your data by emailing us; we will complete the deletion within 30 days, subject to records we are legally required to keep.
- Google access: you can revoke the add-on's access to your Google account at any time at myaccount.google.com/permissions.
To exercise any of these rights, email us at ceo@soleidispatch.com. Depending on where you live, you may have additional rights under local law (for example, under the California Consumer Privacy Act or the EU/UK GDPR), and we will honor valid requests under those laws.
10. Children's privacy
The Service is a business tool intended for adults and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
11. International users
We are based in the United States and process data there. If you use the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those of your jurisdiction.
12. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you by email or through the Service before the changes take effect. The "Effective date" at the top shows when this policy was last revised.
