Dispatch Sheets AI is operated by Solei LLC (“Solei,” “we,” “us,” or “our”). The Service is designed for trucking and dispatch operations involving United States motor carriers and United States transportation markets. The Service is offered only for Customer Content processed for organizations legally formed and registered in the United States. This Privacy Policy explains how we process personal information in connection with Dispatch Sheets AI, the Google Workspace add-on, related websites, account administration, billing, support, and related APIs (collectively, the “Service”).

1. Scope and our roles

Dispatch Sheets AI is a business tool that helps users extract structured information from Rate Confirmation documents and place that information into Google Sheets chosen and authorized by the user.

When we process a business customer’s Rate Confirmations, Google Sheet data, load data, or other operational information (“Customer Content”), the customer generally decides why and how that information is used. In that context, Solei generally acts as a processor or service provider on the customer’s behalf.

We act as a controller or business for information we use for our own purposes, such as website inquiries, account administration, billing contacts, security logs, and communications.

If you use the Service through an employer, carrier, dispatch company, or another organization, contact that organization first for requests regarding Customer Content. We will assist our customer as required by applicable law and our agreement with that customer.

The Service also lets a user create an Organization, a shared workspace with a single Owner who is responsible for that Organization's subscription and billing and who controls which users belong to it. Section 3 of the Terms of Service defines an Organization and describes how membership and deletion work.

1.1 Customer responsibility for Customer Content

You are responsible for ensuring that you have all rights, permissions, notices, and legal bases necessary to submit Customer Content to the Service and to authorize our processing of it. This includes information about drivers, dispatchers, brokers, carriers, customers, and other individuals whose information may appear in Rate Confirmations or Google Sheets.

We do not independently verify the accuracy, lawfulness, completeness, or ownership of Customer Content. We may remove, restrict, or suspend processing of Customer Content where we reasonably believe it may violate law, third-party rights, these terms, or the security of the Service.

We use information to:

Dispatch Sheets AI is an automation tool. It does not accept loads, negotiate rates, communicate with brokers, make dispatch decisions, or provide legal, tax, accounting, safety, insurance, or regulatory advice. You are responsible for reviewing parsed output before relying on it.

4. Google user data and Google Sheets

Dispatch Sheets AI is a Google Workspace add-on. We request Google authorization only to the extent needed for the features you choose to use. The final scopes displayed in the Google consent screen control the actual permissions granted.

The intended minimum access is limited to the current/selected spreadsheet and, where necessary, files opened or created through the add-on. We do not claim ownership of your Google Sheet, and we do not use the Service to browse or index unrelated Google Drive content.

We use authorized Google data to:

OAuth access and refresh tokens are stored using appropriate security safeguards to maintain the authorized connection. You may revoke access through your Google Account permissions or remove the add-on through Google Workspace controls. Revoking access may prevent the Service from working until you authorize it again.

Our use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements. We do not use Google user data for advertising or sell it. We do not use it to train general-purpose or third-party AI models.

Google Workspace, Google Sheets, Google Drive, and Google Account permissions are third-party services governed by Google's terms and privacy practices. We do not control Google's availability, API limits, changes to permissions, account restrictions, or data practices.

These providers may process information only as necessary to provide their services to us, subject to applicable contractual, legal, and technical controls.

A current list of service providers and subprocessors is available to Customers upon request where required by applicable law or contract.

Customer Content is not used to train general-purpose or third-party AI models. AI output can be incomplete, inaccurate, or inconsistent. You must review it before using it for operational, financial, dispatch, billing, or compliance purposes.

We do not guarantee that OCR or AI output will be complete, accurate, error-free, available at all times, or suitable for any particular purpose. The Service is not a substitute for professional dispatch, legal, tax, accounting, insurance, transportation, safety, or regulatory advice.

5.1 Which AI services we use, and how model training is prevented

We name these explicitly because Google user data must never be used to create, train, or improve any foundational or generalized machine-learning model, whether ours or anyone else's.

Every request we send through OpenRouter carries the provider routing rule data_collection: "deny", which excludes any downstream provider that retains prompts or trains on them; the same restriction is set on our OpenRouter account. No other AI or machine-learning service receives Google Workspace user data, in raw, aggregated, anonymized, or derived form. We do not train, fine-tune, or improve any model of our own using Customer Content or Google user data.

7. Data retention

We retain information only for as long as reasonably necessary for the purposes described in this Policy, to provide the Service, meet legal obligations, resolve disputes, enforce agreements, and maintain security.

A centralized technical log line typically records which account made a request (or "anonymous"), the HTTP method and path, the response status, and how long the request took. These logs are designed not to contain passwords, authentication tokens, document contents, extracted document text, or Google Sheet cell values.

Rows written to a customer’s Google Sheet remain under the customer’s control. Deleting data from Solei systems does not delete rows from the customer’s Google Sheet.

8. Account deletion

You may request deletion of your account, or of an Organization you own, through the account settings made available in the Service. If that control is unavailable to you or you cannot access your account, contact us at support@soleidispatch.com.

Submitting a deletion request immediately schedules every subscription associated with that account or Organization not to renew, both with our payment processor and in our internal records; access continues for any period already paid for, and the request does not create a right to a refund except where required by law or expressly stated otherwise. You may not request deletion of an Organization you own while other users still belong to it; remove them or transfer ownership first. Requesting deletion of your own personal account while you solely own an Organization with no other users also places that Organization into deletion.

The request begins a 30-day recovery period. During that period you may cancel the request and the account or Organization is restored without loss of account data. Restoring an account does not automatically resume subscription renewal; a subscription renews again only once you affirmatively reactivate it or purchase a new one.

After the recovery period, the account (or Organization) is anonymized: authentication credentials, active sessions, verification codes, login history, Google account linkage, and payment-processor customer linkage are deleted or replaced with non-identifying values, and templates, mappings, and upload history are then removed through background processes. We retain limited billing, subscription, usage-accounting, and audit records as described in the table above, where reasonably necessary for accounting, tax, financial reporting, fraud prevention, security, dispute resolution, or legal obligations.

Rows already written to your Google Sheet remain in that Sheet under your control; deleting a Dispatch Sheets AI account or Organization does not delete or modify anything stored in your Google Sheets. Information remaining in backup systems is deleted or overwritten according to the applicable backup cycle above.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including encryption in transit, access controls, authentication safeguards, monitoring, and protected storage and backups.

No method of transmission, storage, or processing is completely secure, and we cannot guarantee absolute security or uninterrupted availability. You are responsible for safeguarding your account credentials and for managing access to your Google account and Google Sheets.

10. Important limitations

The Service depends in part on third-party services, including Google Workspace, Google APIs, OCR/AI providers, payment processors, email providers, and hosting providers. Their services, policies, permissions, availability, and security practices are governed by their own terms and privacy policies. Solei is not responsible for a third party’s acts, omissions, outages, API limits, permission changes, or services outside Solei’s reasonable control.

You are responsible for selecting the correct Google Sheet; managing the access you grant to it; reviewing parsed and AI-generated output; maintaining notices, consents, permissions, and legal authority for Customer Content; and ensuring your use complies with applicable law and your agreements with third parties.

This Privacy Policy describes our privacy practices. It does not create a warranty, guarantee the availability or accuracy of the Service, or expand Solei’s obligations beyond those required by applicable law or an applicable written agreement. Nothing in this Policy limits rights that cannot be limited under applicable law.

11. International processing

Solei LLC is a United States company. The Service is offered only for Customer Content processed for organizations legally formed and registered in the United States in connection with United States trucking and dispatch operations. An individual dispatcher may use the Service from outside the United States, including from Europe, only when authorized to act for such an organization and when the requirements of the Terms of Service and applicable law are met.

Our primary hosting infrastructure is located in Germany. Accordingly, information, including Customer Content, may be stored or processed in Germany. Our providers may also process information in the United States and other locations where they or their subprocessors operate. We do not currently offer customer-selected data residency.

Where required by applicable law or agreed with a Customer, Solei may enter into appropriate data-processing and international-transfer terms, including a Data Processing Addendum or Standard Contractual Clauses.

12. Your privacy rights

Depending on where you live and the context of processing, you may have rights to request access, correction, deletion, restriction, objection, or other information about personal information we control.

For Customer Content processed on behalf of a business customer, please direct requests first to the relevant customer organization. For Solei-controlled information, send requests to support@soleidispatch.com. We may need to verify your identity and may respond as permitted or required by applicable law.

13. Children

The Service is intended for business users and is not directed to children. Do not use the Service to submit personal information about anyone under 18 years old.

14. U.S. state privacy notice

This section applies only to the extent an applicable U.S. state privacy law applies to Solei and to personal information that Solei controls. It does not change the customer’s role as controller/business for Customer Content processed on its behalf.

We do not sell personal information or share it for cross-context behavioral advertising. We do not knowingly use or disclose sensitive personal information to infer characteristics about an individual.

Subject to applicable law and verification of your request, you may have rights to request access to, correction of, deletion of, or information about the personal information we control; to obtain a portable copy where required; and to appeal a decision regarding a privacy request where required. You may exercise these rights by contacting us at support@soleidispatch.com. An authorized agent may submit a request where permitted by law, subject to verification of the agent’s authority and your identity.

If we process Customer Content for an organization, that organization is ordinarily responsible for responding to privacy requests about that content. We will assist our customer as required by applicable law and our agreement with that customer.

15. Changes to this Policy

We may update this Privacy Policy to reflect changes in our Services, practices, technology, legal requirements, or other factors. We will post the updated version and revise the “Last updated” date. Where required, we will provide additional notice before material changes take effect.

17. Acknowledgment and relationship to the Terms of Service

By creating an account, connecting a Google account, purchasing a subscription, or using the Service, you acknowledge that you have read and understood this Privacy Policy. Where you use the Service on behalf of an organization, you represent that you are authorized to acknowledge this Policy for that organization.

This Privacy Policy explains our privacy practices. It does not replace the Solei LLC Terms of Service, which contain additional terms governing use of the Service, including disclaimers, suspension rights, ownership provisions, and limitations of liability.

Nothing in this Privacy Policy limits rights that cannot be limited under applicable law.
